About the position
The Finance Section of the Australian Embassy Jakarta is seeking a new team member to deliver high quality and efficient financial services. In return, the successful candidate will become part of a supportive team environment that encourages high performance and professional development.As part of the team, the Finance Officer will play a particularly key role in ensuring smooth processing of financial services and will routinely liaise directly with other staff within the Embassy and Consulate-General offices. The team also offers opportunities for team members to cross skill into other areas of the section’s work and to assist the other team member with complex issues and discrete projects.
The key responsibilities of the position include, but are not limited to:
- Manage and process invoices, reimbursements and journal entries and develop updates to policies and practices in response to changes, including to government legislation as well as provide training and dissemination.
- Prepare and review monthly finance reports and communicate any business implications that require attention by senior managers.
- Manage the processing of routine and complex financial transactions in accordance with departmental guidelines and legislative requirements including develop and coordinate the preparation of the annual Fringe Benefits Tax return and budget management.
- Establish, develop and maintain strong working relationships with a range of key internal and external stakeholders both in Jakarta and Canberra in order to maintain financial touch points, investigate queries and provide accurate, detailed monthly financial management reporting.
- Create and maintain Vendor Master records and Customer Master records in the SAP system.
- Interpret policy and provide advice when required for administrative support services, including understanding, responding to, and resolving enquiries on a range of finance or general administrative services including contributing expertise to the implementation of systems and process improvement initiatives.
- Investigate and respond to system inquiries and issues related to financial transactions and resolve intermediate level queries and escalate where appropriate.
- Provide assistance with certification of DFAT staff’s travel and liaise with the relevant travel services provider as required. Duty includes responsibility of travel services procurement process per BuyRight when required.
- Identify training requirements and provide assistance in delivery of training and presentation as required.
- Manage and oversee subordinates, including responsibility for the management of performance development agreement.
- Perform other duties and back-up as required.
Qualifications / Experience
- A qualification in a relevant field is desirable but not mandatory.
- Demonstrated administration experience including contracting, financial management, monitoring, and reporting, is desirable.
- Sound administrative skills and experience including an ability to work under pressure and meet deadlines.
- Well-developed communication skills both in written and spoken English and Indonesian, is desirable.
- Demonstrated initiative and the ability to make sound decisions with minimal supervision.
- Sound knowledge of Microsoft Office, including Excel.
- Experience in SAP system and Microsoft Office would be preferable.

About the position
The Personnel Officer (Leave & Payroll) is critical to the HR function of the Embassy and requiresdelivery of a quality service to all Locally Engaged Staff (LES) and Australian-based staff. The position
requires a high level of attention to detail and in-depth knowledge of the LES Terms and Conditions
of Employment and Overseas Conditions of Service.
The Personnel Officer (Leave & Payroll) provides day-to-day administrative services in the HR section
in accordance with appropriate Human Resources Management System guidelines and procedures,
assistance in the general provision of policy advice related to the LES Terms and Conditions of
Employment and Overseas Conditions of Service and provides support to the payroll process for
Locally Engaged Staff (LES).
The key responsibilities of the position include, but are not limited to:
- Maintain and update staff leave and attendance records in the HR information system, respond to leave and attendance related queries and escalate complex issues as required
- Perform administrative duties and services for Australian-based (A-based) staff related to medical claims. This includes reviewing documentation, calculating claims, processing reimbursements and maintaining accurate records and databases
- Review the leave fare applications of A-based staff for compliance with established procedures and escalate applications for approval
- Provide the required documents, forms and related policies to newly arrived A-based staff at the commencement of their duty
- Provide the required documents for departing Locally Engaged Staff (LES)
- Prepare a range of financial reports as required, including budgeting and End of Month related reports.
Qualifications / Experience
- Tertiary degree in any discipline is desirable.
- Previous experience undertaking HR functions would be an advantage.
- Experience maintaining and updating large database sets including data processing.
- Proficiency in the Microsoft Office suite of applications (Excel and Word in particular).
- Experience in client service and good interpersonal skills including resourcefulness, sensitivity, tolerance and tact.
- Excellent organisational and record management skills including attention to details and the ability to exercise discretion and sound judgement.
- High-level written and oral communication skills in English and Indonesian.
- Demonstrated ability to build productive relationships and work effectively as part of a team.
