- Main Purpose of Job:
- To manage and deliver efficient Protocol and Logistics operations-particularly shipment/customs clearance and VIP protocol services-while providing high-quality operational support and customer service to the British Embassy Jakarta and the UK Mission to ASEAN, ensuring smooth day-to-day Logistics and Protocol Team delivery.
- What the Jobholder will be Expected to Achieve:
- Manage shipments and customs clearance processes.
- Coordinate and support VIP protocol activities.
- Ensure smooth day-to-day logistics and operational support.
- Provide first-line customer service to Embassy and Mission staff.
- Work closely with the Corporate Services Team to support the Indonesia network.
- Assist in maintaining efficient corporate services for multiple UK Government departments operating on the same platform.
- Support the Embassy and UK Mission's operational needs in a professional and timely manner.
- Other ad hoc tasks from Logistics and Protocol Team
- Resource managed (staff and expenditure):
- This position will line manage one or possible two AO level staff
- Main Purpose of Job:
- Essential qualifications, skills and experience
- Approachable and empathetic with excellent listening and interpersonal skills. The ability to deal sensitively with difficult situations and people in distress
- A quick learner able to follow procedures and guidelines in making judgements and solving problems. Good attention to detail
- Strong IT skills, including using Microsoft Office programmes
- A good team player able to work flexibly within a small team
- Strong organisational, prioritisation and time management skills. Able to work under pressure with limited supervision
- Fluent Bahasa Indonesia and excellent English language skills, both written and spoken. For candidates with English as a second language, certification at IELTS (or equivalent) level 7 or higher within the last 2 years is required. All skill areas (Writing, Speaking, Listening and Reading) must be IELTS score 6.5 or higher
- Willingness to work additional hours during specific crisis situations (sometimes on a shift pattern working unsociable hours)
- Desirable qualifications, skills and experience
- Experience in a similar role within an Embassy, NGO, or international organisation would be advantageous
- Previous experience in a customer-facing or customer service role
- Experience of living in, or a good understanding of, the UK or another English-speaking country
