Government of Indonesia and UNFPA Cooperation Program Year 2026. Directorate of Clinical Services, Ministry of Health of the Republic of Indonesia is opening a vacancy for:

Finance and Administrative Assistant (FAA)

  • Work Location: Jakarta
  • Application Deadline: June 24, 2026
This position plays an important role in ensuring that grant administration governance runs orderly, transparently, and in accordance with regulations through coordination, facilitation, and management of program administrative documents.
Finance, logistics, and administrative management staff (Finance and Administrative Assistant / FAA) for 2026 are required to support the implementation of tasks at the Directorate General of KESLAN in Dityanklin as the Implementing Partner, including:
  • Responsible for financial, logistics, and administrative management related to the implementation of the UNFPA program;
  • Preparing periodic financial reports, verifying budget / accounting data, and providing technical assistance in financial management; and

Financial Duties

  • Supporting the Directorate of Family Health in managing program / activity funds including operational funds allocated in the Annual Work Plan (AWP) 2025;
  • Preparing routine financial reports to be submitted to the Program Coordinator (Echelon 2) through PJOK;
  • Coordinating with the Treasurer of the Directorate of Family Health and UNFPA regarding fund disbursement and financial reports;
  • Coordinating with the Treasurer in preparing financial reports and ensuring that the reports are officially submitted on time (reconciliation reports and grant validation);
  • Preparing petty cash and voucher bookkeeping;
  • Ensuring all expenditures are supported with required documents, payments are timely, approvals are recorded, and invoices are numbered sequentially;
  • Assisting in preparing documents needed for budget revisions (fund reallocation to UNFPA and revision of DIPA Directorate of Family Health);
  • Monitoring program / activity financial status and reporting monthly to Project Officer / PJOK;
  • Preparing budget monitoring and fund realization quarterly based on annual budget allocation (AWP);
  • Assisting in facilitating activities carried out by strategic partners, especially preparing funds and accountability and ensuring supporting financial documents are complete and in accordance with AWP and PEDUM provisions;
  • Assisting facilitation and validation of Handover Minutes (BAST) annually;
  • Preparing financial reports in the Funding Certification Authorized Expenditure / FACE format, and ensuring:
    • submitted to UNFPA according to the predetermined schedule;
    • accuracy of financial calculations;
    • officially signed by relevant officials (Program Coordinator, PJOK, and Activity Advance Holder / PUMK);
    • the amount of funds stated in FACE matches the allocation in the Annual Work Plan (AWP);
  • Assisting in preparing meetings (invitations, contacting speakers and participants, and meeting materials);
  • Monitoring procurement of goods / logistics, completing formal permits, and ensuring delivery objectives; and
  • Ensuring all office equipment is labeled and properly maintained.

Administrative Duties

  • Maintaining non-consumable office equipment and preparing inventory forms if needed;
  • Preparing procurement documents for goods and services in accordance with Government Regulations;
  • Creating and updating documentation systems, including correspondence documentation;
  • Ensuring information / documents are properly recorded and stored; and
  • Managing office operations, ensuring office supplies are well maintained and stationery is available.

Output

  • Satisfactory financial, logistics, and administrative management services for the RI-UNFPA Cooperation Program Cycle-11 in 2026.

Time and Cost

  • The required cost for the Finance and Administrative Assistant / FAA salary is Rp. 5,000,000 (five million rupiah) per month for July–December 2026, sourced from UNFPA grant funds listed in the Annual Work Plan (AWP) 2026.

Place and Time of Assignment

  • Finance and Administrative Assistant / FAA (part-time – 3 times a week) will work at the Ministry of Health Head Office Jakarta.

Requirements

  • Minimum Diploma 3 in Finance / Accounting or Business Management, or Management, or Computer, or other related fields
  • Minimum 2 years of experience in administration and financial management
  • Experience working with government or NGOs is highly preferred
  • Experience working in grant cooperation programs or similar projects
  • Must be able to communicate actively in written and spoken English
